Connecting Xero

Push your clients, invoices and payments from Chippie to Xero automatically, with paid status flowing back. How to connect, which accounts to choose, and what syncs.

Connect Xero and Chippie keeps your books up to date as you work: clients become Xero contacts, invoices become Xero sales invoices, and paid invoices get their payment recorded. Xero is included on the Pro and Team plans.

Connecting

  1. Open Settings and go to the Integrations tab.
  2. In the Xero Accounting card, tap Connect Xero and log in to Xero.
  3. If your Xero login has more than one organisation, choose the one Chippie should sync into and tap Connect this organisation.

In the iPhone and Android apps, Xero's login opens in your browser. When it says Xero is connected, go back to the Chippie app.

Choosing your accounts

Under Invoice mapping, pick two Xero accounts. Each saves as soon as you choose it.

  • Revenue account: the income account invoices post to. Invoices sync once this is chosen.
  • Payment account: the bank account your clients pay into. When you mark an invoice paid, Chippie records the payment against this account, so it matches the deposit in your bank feed. The first time you choose one, Chippie sends the paid invoices that were waiting.

Tax is set from your business's region, so there's nothing to map. If you change your chart of accounts in Xero, tap Refresh from Xero to see the new accounts.

What syncs, and when

Chippie sends changes to Xero by itself:

  • Clients when you add or edit them.
  • Invoices when they are created or edited, and when a job completes. An invoice's client is sent first if Xero doesn't have them yet.
  • Payments when you mark an invoice paid.

When an invoice is paid or voided in Xero, Chippie updates it to match. Xero never turns a paid Chippie invoice back to unpaid.

Each invoice shows its Xero status: green when it's in Xero, amber while the payment is pending, red if something needs your attention. To send something straight away, use Sync to Xero on an invoice or client, or Sync all in the Xero card.

Once an invoice is paid, its lines are locked in Xero: later edits in Chippie don't change it there.

Importing your Xero customers

Tap Import customers from Xero to bring your Xero contacts into Chippie as clients. You see each one first: new clients are added, and contacts that match a client you already have are linked to them, keeping the details in Chippie. Only contacts you have invoiced in Xero are offered.

Disconnecting

Tap Disconnect in the Xero card. Chippie stops sending changes and is removed from your Xero organisation's connected apps. Nothing in Xero is deleted, and Reconnect Xero picks up where you left off.

Common questions#

Which plan do I need for Xero?
Xero is included on the Pro and Team plans, including during a trial.
Why won't my invoices sync to Xero?
Choose a Revenue account first, under Settings, Integrations, Invoice mapping. Xero needs to know which income account each invoice posts to, so invoices wait until one is chosen.
Why is my paid invoice still "Awaiting Payment" in Xero?
Choose a Payment account under Invoice mapping. Chippie then records each paid invoice's payment against that bank account in Xero, and catches up the paid invoices that were waiting.
Will it bring my existing Xero invoices into Chippie?
No. You can import your Xero customers as Chippie clients, but invoices are not imported.
I have more than one Xero organisation. How do I switch?
Disconnect, then connect again and choose the other organisation. Switching organisation clears the links to the old one.
What happens when I disconnect?
Chippie stops sending changes and is removed from your Xero organisation's connected apps. Nothing in Xero is deleted, and Chippie keeps its links so reconnecting carries on where it left off.
