Open Possible duplicates, choose which client to Keep, tick Merge in on the copies, and merge.
Where: Duplicate clients, or Review duplicates in the banner on Clients
- On Clients, press Review duplicates in the amber banner (it shows only when there are copies).
- Each group lists clients that look like the same person, with their quotes, jobs and invoices.
- Choose Keep on the client to keep. Chippie suggests the one linked to Xero, else the one with the most documents.
- Tick Merge in on each copy and press Merge (number) into the kept client.
Watch out: merging cannot be undone. The copies are deleted after their records move.
What counts as a duplicate
Clients are grouped when they share an email, or a name plus a phone number or address. Spelling of "Street"/"St", capitals and punctuation are ignored. Clients that share only a name are not grouped.
Merge one client from its page
Open the client and press Merge Duplicate in Client Actions. Choose the duplicate to merge in and press Merge and delete duplicate.
What a merge does
- Quotes, jobs, invoices, contacts and sites move to the client you keep. Identical contacts and sites are combined.
- The copy is deleted. Its Xero or MYOB link is dropped; the kept client is sent to Xero again, and invoices that were blocked by the duplicate sync.
Xero and duplicates
Xero allows one contact per name, so a second client with the same name, and its invoices, never syncs. The banner says so when Xero is connected. Merge the copies to fix it. See Connecting Xero.
Stop making new ones
When you add a client, Chippie checks the name, phone, email and address as you type and shows "This looks like a client you already have". Press Use this client, or Different person if it isn't. Saving anyway asks once more with Add them anyway.
To make one person a contact of a business (an agent at an agency), open them and press Move Under Business.
