Archiving and unarchiving quotes, jobs and invoices

Archive a finished quote, job or invoice to take it off your lists without deleting it. Find it again under Archived quotes, Archived jobs or Archived invoices at the bottom of the list, and press Unarchive to bring it back to the status it had.

Archive a finished quote, job or invoice to take it off your lists. Nothing is deleted, and Unarchive brings it back.

Where: the record's Update Status menu, and the Archived link at the bottom of each list

  1. Open the quote, job or invoice and choose Update Status > Archive Quote, Archive Job or Archive Invoice.
  2. To find it again, go to Quotes, Jobs or Invoices and press Archived quotes, Archived jobs or Archived invoices at the bottom of the list.
  3. Press Unarchive on its row, or open it and choose Update Status > Unarchive.

Watch out: to undo an acceptance made by mistake, use Revert to Quoted, not Archive. Archiving only hides the quote.

What can be archived

Record Can be archived when it is
Quote Accepted or cancelled
Job Completed or cancelled
Invoice Paid or cancelled

Archiving a job also archives its invoices that are a draft, paid or cancelled. An unpaid invoice stays on Invoices and Overdue until it is paid. A paid invoice keeps its paid date while archived.

Unarchiving

An unarchived record goes back to the status it had before: an accepted quote comes back Accepted, and a paid invoice comes back Paid with its paid date.

Unarchiving a job also brings back the invoices its archive put away. Those can't be unarchived on their own while the job is still archived: their rows link to the job instead, so unarchive the job.

Each archived list shows how many records it holds. Back to quotes, Back to jobs or Back to invoices at the top returns to the full list.

Undoing an acceptance

Open the quote and choose Update Status > Revert to Quoted. When the acceptance made a job and invoice, Chippie asks what to do with them: Archive related records (recommended) or Keep related records active. Press Revert Quote. See also Client view.

Sending and copying

  • An archived quote can't be sent. Unarchive it first.
  • Sending a quote that is already accepted asks you first, because your client sees it as accepted.
  • To quote the same work again, open any quote, archived ones included, and press Duplicate Quote in Quote Actions (under More on a phone). See Creating your first quote.

With Chip

Ask Chip "unarchive quote 12", "unarchive job 5" or "unarchive invoice 80". Chip shows an approval card and brings the record back to its earlier status when you approve.

To delete a record for good instead, see Deleting records.

Common questions#

How do I unarchive a quote?
On Quotes, press Archived quotes at the bottom of the list, then Unarchive on the quote's row. Or open the quote and choose Update Status, Unarchive. It goes back to the status it had before, such as Accepted.
Where are my archived quotes?
At the bottom of the Quotes list, press Archived quotes. Jobs and Invoices have Archived jobs and Archived invoices in the same place.
Does archiving delete anything?
No. An archived record leaves your lists and keeps everything, including its photos, notes and history. Unarchive it at any time.
I accepted a quote by mistake. How do I undo it?
Open the quote and choose Update Status, Revert to Quoted. Don't archive it; archiving only hides it. Reverting asks what to do with the job and invoice the acceptance made.
Why can't I unarchive this invoice?
It was archived along with its job. Open the job and unarchive it; the invoice comes back with it.
Can I send an archived quote?
No. Unarchive it first, or press Duplicate Quote to make a new quote just like it.
Can Chip unarchive something for me?
Yes. Ask "unarchive quote 12" and approve the card.
