A water heater replacement quote in euro in the Chippie app, with site photos of the old and new units

Key takeaways

  1. Annual boiler services run as recurring jobs, so every customer's next service is booked when this one is done.
  2. The extra work found once a floor or a wall is opened goes on the job there and then, with a photo.
  3. A burst pipe at seven in the morning is invoiced from the driveway, not remembered on Friday.
  4. Your RGI number prints on every quote and invoice, and stopcock and boiler notes stay on the property for every visit.

How a plumbing and heating job runs in Chippie#

A water heater replacement in Cork: quoted on site, fitted, invoiced and paid. Callouts and annual boiler services go the same way.

  1. Quote on site

Heater, pipework, shower mixer and labour itemised with VAT at your rate, a photo of the old unit attached.

  2. The customer accepts

Patrick accepts from the email. The quote becomes the job, and its invoice is drafted from the same lines.

  3. Open it up

Stopcock and meter notes sit on the property. Add the extra work the moment you find it, as a new line with a photo.

  4. Invoice on the spot

Complete the job and the invoice matches it line by line, with VAT at your rate and your bank details on it.

  5. Paid

Mark it paid when the transfer lands, and service customers' next visits are already on the schedule as recurring jobs.

What Chippie does for plumbers#

  • The service round that books itself. A boiler service customer runs as a recurring job, every 12 months or on any cycle you set. The next visit appears on the schedule when this one is marked done, and the boiler's make, model and location stay on the customer.
  • The extra agreed while they are standing there. Lift a floor and there is more to do. Add it to the job as a new line with a photo while the customer is there to see it, and the invoice bills it when the job is done.
  • Callouts invoiced on the day. Small emergency jobs are the ones that never get billed. Raise the invoice from the phone before you leave the house.

What changes when the paperwork moves to the phone#

What changes, job by job
  The old way With Chippie
Boiler services A list of who is due, kept in a notebook Recurring jobs that book the next service themselves
Extras Agreed out loud, argued about on the invoice Added to the job on site with a photo
Callouts A docket book and paperwork that catches up eventually Invoiced from the driveway before you leave
Quoted work Priced from memory that evening Itemised on site, becomes a job when accepted
Site detail Where the stopcock is, in your head Stopcock, boiler and access notes on the customer

Plumbers: your questions#

Can Chippie run annual boiler services?
Yes, as recurring jobs. Set the cycle once and the next service appears on the schedule when this one is marked done.
Can I add extra work to a job while I am on site?
Yes. Add the lines to the job with a photo while the customer is next to you, and the invoice bills them rather than what you remember.
Can I put my RGI number on quotes and invoices?
Yes. Add it once on the Business Info tab in Settings and it prints on every quote and invoice.
Does Chippie handle Irish VAT?
Yes. Set your country to Ireland and every quote and invoice is in euro, with your VAT number and VAT at 23%. Mostly on 13.5% work? Change the rate on the Tax tab in Settings. Not registered? Answer No to "Are you registered for VAT?" there, and no VAT line is shown.
Does Chippie work with Xero?
Yes. On Professional and Team, Chippie sends your customers, invoices and payments to Xero, and an invoice paid in Xero shows as paid in Chippie.
Does Chippie work with no signal?
Yes. Your week's visits and the jobs and quotes you have opened stay on the phone. With no signal you can open them, change prices and lines, add photos, get your customer's signature and send the quote. It all goes through when the phone is back in range.
