Quoting and invoicing, Ireland

The quote and invoice app for Irish tradesmen: quote on site, invoice before you leave

Price the job while you are standing in it, in euro with Irish VAT. The customer accepts from a link, the job and invoice are made for you, and the invoice goes out before you have started the van.

Key takeaways

  1. Build an itemised quote on your phone, in euro with Irish VAT, and send it before you leave site.
  2. Your VAT number, the VAT-exclusive unit prices and the VAT by rate print on the invoice, as Revenue sets out.
  3. The customer accepts or declines from a link. No app, no account.
  4. Acceptance creates the job and a draft invoice, so nothing is typed twice.
  5. Free for one user up to 20 jobs a month. Pro is €15 a month including 2 users; Team is €25 including 4.

Quoting on site#

Price the job on your phone while the customer is still there. One line for the whole job is fine, and so is a full breakdown.

What goes on each quote line
  On each line You choose
Line type Labour, materials, equipment, flat fee, subcontractor or other
How you count it By the hour, the metre or the item
Price per unit Entered without VAT; Chippie works out the line total
VAT Your rate, 23% or 13.5%, or none if you are not registered
Shown to the customer Every line, or only the total

Speak the job description instead of typing it. A one-tap polish cleans up the wording; it never touches a price, and you approve the new text before it is kept.

The customer accepts from a link#

The customer gets the quote by email: a PDF with your logo, and a link to view it online. They accept or decline from their phone in one tap, without signing up for anything. Once they accept, the job is created along with a draft invoice for the agreed price.

Invoicing from the job#

  1. Finish the job

Mark it complete and the draft invoice from the acceptance is ready.

  2. Add any extras

Put in extra work or materials before you send it.

  3. Send it there and then

The customer receives a VAT invoice PDF showing your VAT number and bank details, plus a link to view it online.

  4. Get paid

By bank transfer, cash, or card through Stripe if you have connected it. Chippie records the date once you confirm the payment.

VAT on an Irish invoice#

Chippie runs in euro with Irish VAT, Irish addresses and Irish dates. Here is what that covers, and where it stops.

What Revenue wants on the invoice

Revenue sets out what a VAT invoice has to show: the date of issue, a unique sequential number, your full name, address and VAT registration number, the customer's full name and address, the quantity and nature of what you supplied, the VAT exclusive unit price, any discount, the breakdown by VAT rate, the total VAT payable, and the date the work was done.

A Chippie invoice carries the issue date, the invoice number, your business name, address, VAT number and company registration number, the customer's name and address, every line with its quantity and its VAT exclusive unit price, the VAT broken down by rate, and the total. The one it does not print on its own line is the supply date when the work was done on a different day to the invoice. Put that in the job or the line description until it has a field of its own.

The rates, and the one job Chippie will not do for you

The standard rate is 23%. The reduced rate is 13.5%, and that is the one covering certain building services, repair, and cleaning and maintenance work. Whether your own work sits at 13.5% is a question for Revenue's rate list or your accountant, not for us.

In Chippie you set the rate once, under Settings, Region and Tax, and it applies to every quote and invoice from then on. Leave the VAT registered box unticked and no VAT line appears at all, which is the right state below the €42,500 services threshold. What Chippie does not do yet is split one job across two rates. One rate per business is the whole of it today.

The two thirds rule

If the goods used on a job cost more than two thirds of the total price, the rate on the goods applies to the whole job, materials and labour together. Revenue calls that the two thirds rule and lists what sits outside it, including motor and agricultural repairs and some construction services.

Chippie does not work this out for you. It keeps your material and labour lines separate so you can see the split, and you set the rate.

RCT is not in Chippie

Relevant Contracts Tax is not handled. If you are a principal contractor, or working under RCT as a subcontractor, the contract notifications, the payment notifications and the deduction rates are not here, and Chippie files nothing to Revenue on your behalf. Do that side through ROS or your accountant, and use Chippie for the quote, the job and the invoice.

eInvoicing starts in 2028, and not with you

Revenue's eInvoicing mandate begins on 1 November 2028 with large corporates issuing structured eInvoices on domestic business to business supplies. A sole trader is not in that first phase. From the same date every business does have to be able to receive one.

What it does not do#

Common questions#

Can I write a quote on site from my phone?
Yes. Add line items for labour, materials, equipment or a flat fee, each with its quantity and unit price. Totals and VAT calculate as you go, and you can dictate the description instead of typing it.
Does it do Irish VAT?
Yes. Set your country to Ireland and every quote and invoice shows VAT in euro, at 23% or 13.5%, with your VAT number and company registration number on the document. Not registered for VAT? Leave the box unticked and no VAT line appears.
Does my customer need an app to accept a quote?
No. They get a PDF and a link to an online quote page that opens on any phone, with accept and decline buttons. No account, nothing to install.
Can I send the invoice before I leave the job?
Yes. Marking the job complete makes the invoice ready to send, and you send it from your phone. The customer gets a PDF and a secure link with your payment details on it.
Does it do RCT?
No. Relevant Contracts Tax is not in Chippie, and it files nothing to Revenue for you. Do RCT through ROS or your accountant, and use Chippie for the quote, the job and the invoice.
Does it work on Android and iPhone?
Yes. There is an iPhone app on the App Store and an Android app on Google Play, and on any computer Chippie runs in the browser. Your jobs are the same on every device.
How much does it cost in Ireland?
Free for one user up to 20 jobs a month, with no card. Pro is €15 a month for unlimited jobs and 2 users; Team is €25 a month for 4 users, then €5 for each extra user. Prices include VAT.
