A bathroom refit quote in pounds in the Chippie app, with site photos from strip-out to the finished bathroom

Key takeaways

  1. Groundworks, blockwork, roof, first fix and finishes priced as their own lines, VAT at 20% added in pounds.
  2. Each stage is its own job under the customer, so each stage payment is its own invoice, ready when that stage is complete.
  3. Variations go on the stage they belong to as new lines, priced when they are agreed, ready for the final account.
  4. The customer's record holds every stage's quote, invoice and photos from the survey to handover.

How a building job runs in Chippie#

A bathroom refit in Bristol: priced, built, invoiced and paid. An extension runs the same way, one job for each stage.

  1. Survey and price

Measure up and price it on the phone, labour and materials on their own lines, VAT at 20%, a photo of the room as it is attached.

  2. Acceptance makes the job

Laura accepts from the email. The quote becomes the job, with its invoice drafted from the same lines.

  3. Record the variations

A heated towel rail she adds halfway through goes on the job as a new line, with photos of each stage as the work goes in.

  4. Invoice at completion

Complete the job and its invoice is ready to send, variations included, with your sort code and account number on it.

  5. The final account

Paid, and the customer's record lists every quote, invoice and photo from the survey to handover.

What Chippie gives a small building firm is the record of what was quoted, agreed and invoiced at each stage, which is where most disputes and most missed money sit.

What Chippie does for builders#

  • Quote it in the stages you build it. A 4 by 3.5 metre single-storey rear extension as groundworks and footings, blockwork to wall plate, roof, windows and doors, first fix, plastering, and second fix. Quote each stage as its own job at the same address, labour and materials under each, so the homeowner sees where the money goes before they accept.
  • An invoice at every stage. Footings in: complete the groundworks job and its invoice is ready to send. Roof on: the same for the roof. Money comes in through the build rather than after the final account.
  • Variations priced when they are agreed. A roof lantern, a wider opening into the kitchen, two more double sockets. Each goes on the stage it belongs to as its own lines when the customer agrees, so the final account is a list both of you have seen before.

What changes when the paperwork moves to the phone#

What changes, job by job
  The old way With Chippie
Pricing Take-offs done at night after a day on site Stages priced on site and sent the same day
Cash flow Funding materials until the final account An invoice ready as each stage is completed
Variations A phone call nobody wrote down Priced lines on the stage they belong to
Running jobs A wall planner only you can read One list, each job with its own history
Subbies The same directions given to every trade Access, parking and contacts on the property for anyone you send

Builders: your questions#

How do stage payments work in Chippie?
Quote each stage as its own job at the same address. When a stage is done, complete its job and that stage's invoice is ready to send.
How do I record a variation?
Add it to the job for that stage as new lines once the customer agrees, so the stage's invoice includes it.
Does Chippie handle UK VAT?
Yes. With your country set to the United Kingdom, quotes and invoices are in pounds and carry your VAT number and VAT at 20%. Not registered? Answer No to "Are you registered for VAT?" on the Tax tab in Settings, and your documents show no VAT.
Does Chippie work with Making Tax Digital?
Yes, through Xero. On Professional and Team, Chippie sends your customers, invoices and payments to Xero, and an invoice paid in Xero shows as paid in Chippie. Xero is HMRC-recognised software for your Making Tax Digital VAT returns.
Does Chippie work with no signal?
Yes. Your week's visits and the jobs and quotes you have opened stay on the phone. With no signal you can open them, change prices and lines, add photos, get your customer's signature and send the quote. It all goes through when the phone is back in range.
